Kennedy Krieger Institute ADMINISTRATIVE SERVICES COORDINATOR II - SOCIAL WORK in Baltimore, Maryland

Overview

The Administrative Services Coordinator II will provide administrative support for thePsychiatric Mental Health Program(PMHP). The incumbent will collect and transfer patient and staff information, regularly update the payroll system, procure supplies, process departmental expenses, assist with the staff onboarding process and monitor staff credentials. This staff member will route information to departments, provide coverage and coordinate maintenance needs within PMHP.

Responsibilities

  1. Provide administrative support for the Clinic and Medical Directors in the PMHP. Responsibilities include but are not limited to maintaining calendars and schedules (personal/departmental);meeting preparation and organization of materials, and follow-up.

  2. Coordinate and assists with departmental filing, tracking, data entry, and the communication of provider leave requests.

  3. Track and manage the process for timely collection, completion, and transfer of patient clinical forms to the appropriate/requesting party via mail, fax, or email.

  4. Input staff attendance information into the Kronos payroll system in a timely and accurate manner.

  5. Process departmental expenses using Workspace purchasing system and forward all related paperwork to the appropriate departments (i.e. Accounts Payable, Finance, etc.)

  6. Oversee and assist with the ordering, track, and organizing of supplies to includedepartmental keys, pagers, and miscellaneous equipment to meet the needs of the department.

  7. Assist with special projects including coordinating and preparing the onboarding process of new providers and staff (credentialing, Electronic Health Record (EHR)/systems set-up, departmental orientation, assignment of provider offices and identifying common rooms/spaces).

  8. Assist clinicians prepare and enter documentation of patient care into the EHR to include editing, formatting, clinical note diction, etc.

  9. Process application packets and correspondence for extern/interns, residents and trainees for the department. Coordinate matters regarding externs, residents, students, and visitors with Johns Hopkins and outside entities as required.

  10. Gather, track and maintain Crisis Prevention Institute (CPI) certifications and expirations for the PMHP. Responsible for coordinating trainings, reserving training sites, and timely notify staff to ensure compliance.

  11. Route documents and other information to external agencies and other internal departments (i.e. checks, documents, etc.).

  12. Provide backup care center and prescription line coverage as needed.

  13. Monitor PMHP environment to help ensure safety procedures are observed and the professional appearance is maintained. Coordinate request(s) and follow-up on repairs and other maintenance needs for PMHP equipment and environment

Qualifications

QUALIFICATIONS:

  • Must be proficient with MS Office Suite, including Outlook, Word and Excel.

EDUCATION:

  • High School Diploma or G.E.D is required.

  • Associates degree or higher degree in human services related field or healthcare administration highly desirable.

EXPERIENCE:

2 – 3 years of previous secretarial/administrative work experience in a medical setting is preferred.
