Summary

The Coordinator, Records is primarily responsible for coordinating and ensuring timely reporting of student enrollment and graduation statuses to the National Student Clearinghouse per Federal government guidelines. In addition, this position coordinates several high-level processes in the office, including but not limited to student withdrawals, dismissals, inactive statuses, commencement programs, and subpoenas. This position is also responsible for coordinating and sending both scheduled and ad hoc communication to students, faculty and staff throughout the academic year.

50% Coordinate Complete Withdrawals, Dismissals, Inactive Status Requests, Subpoenas, and Cancelation for Non-Payments for all Undergrad and Grad Students

  • Coordinate complete withdrawals, inactive status requests, and dismissals with schools/colleges, Canes Success, and Canes Central

  • Determines if a student qualifies for Inactive status

  • Communicate on a weekly basis the list of all withdrawn and inactive students to respective offices and departments

  • Cancel students for non-payment at beginning of Fall and Spring, coordinate process with Admissions and Student Accounts

  • Coordinate with General Counsel’s office regarding record requests for subpoenas

  • Coordinates refund/withdrawal dates for student withdrawal appeals

30% Coordinates, organizes, and evaluates enrollment and graduation reporting to National Student Clearinghouse

  • Coordinate monthly enrollment report transmission to the National Student Clearinghouse

  • Evaluate and process monthly Error Resolution Report from National Student Clearinghouse to ensure accurate reporting of student enrollment status to ensure compliance with Federal regulations.

  • Evaluate and process weekly National Student Clearinghouse Degree Verify Error Report to ensure compliance with Federal regulations

  • Serve as primary liaison with the National Student Clearinghouse for any issues or problem with the transmissions and/or error reports.

10% Commencement Book Generation

  • Ensures list of undergraduate degrees are properly represented

  • Edit list of names for Commencement booklet per timetable from Commencement Office

  • Assist students in the Application for Graduation Process; specifically, those who become eligible after application deadline.

  • Update names, degrees, and honors prior to publication

10% Administration

  • Coordinate Scheduled Communications to Faculty & Students

  • Serve as primary backup to various record related functions

  • Ad hoc projects for University Registrar

  • Other duties as assigned.

Knowledge, Skills and Abilities

  • Excellent Customer Services skills

  • Excellent verbal and written communication skills

  • Strong interpersonal skills, ability to collaborate well

  • Proficient with Microsoft Office and Excel

  • Knowledge and use of PeopleSoft preferred

  • Familiarity and experience with student records is preferred

Education

  • High School Education required

  • Bachelor’s Degree preferred

Work Experience Requirement

  • Three years relevant work experience

  • 5yrs+ of customer service experience preferred.

  • A combination of relevant education and experience may be considered.
