Job Description

The Manager, US Medical Project Management Office (PMO) will serve as an operational partner to the US Medical Functional leadership, using industry best practices in project management, adapted to local need, to operationalize US Medical functional-level strategies, ensuring consistency, communication excellence, risk management, and strategic alignment to maximize value and enable agile decision making. This role will facilitate operational strategy and planning decisions for functional-level projects and tactics, including budget planning and tracking, project tracking and any prioritization decisions. You will work collaboratively with Business Operations, Finance, TA-focused Program Managers, and Functional Leads within US Medical.

This is a hybrid role, based in Lexington, reporting to the Head of US Medical Operations. You must be able to attend in-person meetings in Lexington and occasionally in Cambridge, MA as business necessitates.

Accountabilities:

  • Operationalize tactics within budget, scope, and timeline, aligned to US Medical Functional level strategy, in partnership with US Medical Functional Leads, and using established USM PMO standards.

  • You will track the status of projects and initiatives, including timelines.

  • You will managed assigned budget, including forecasting/planning for quarterly reporting cycles, and ongoing tracking of actuals vs. plan targets.

  • Support functional-level planning process, in partnership with USM Functional leadership, promoting agility through strategic alignment, prioritization, and reporting.

  • Support the functional medical teams to ensure that each proposed tactic follows appropriate standards, processes, contracting, and regulations during planning and implementation.

  • Provide operational efficiencies by establishing process improvements, providing guidance and support, and developing communication plans to engage key stakeholders and increase function-related communication across the organization

  • You will lead regular meetings with USM functional leadership including managing project updates, tracking budget actuals, metrics and other departmental reporting for US Medical

  • May lead cross-functional project teams that operationalize strategic initiatives

  • Oversee contracts, invoices and budget management within all assigned functional-level projects/initiatives; track and analyze projects and budgets to ensure strategic focus and execution of deliverables; track spend accordingly; Serve as the point person for the function-wide contract operations, negotiations, and internal contract approval workflows

  • Manage vendors, including service level agreements (SLAs), communication of expectations and timelines to ensure deliverables are received on time and within budget; Ensure Takeda best practices are followed and implemented with agreed upon project expectations and timelines; monitor vendors and assess performance against current strategies and plan(s), and address identified issues

Technical/Functional (Line) Expertise

  • Proven competency in project management, including knowledge and experience in using associated tools (i.e. Excel, PowerPoint, SharePoint)

  • Proven competency in financial management, including planning/forecasting, tracking actuals, and cyclical reporting

  • Solid understanding of the pharmaceutical industry and regulations

  • Solid experience in and/or understanding of medical research in academic or industry settings

  • Proven ability to lead without authority, preferably within a scientific or medical setting

  • Ability to work in a matrixed ecosystem with a high degree of complexity

  • Strong sense of accountability and growth mindset

Education/Qualifications:

  • Bachelor’s Degree required, science or business-related field preferred

  • Area of specialization: Medical Affairs, Clinical Research, Project Management, Program Management

  • 3-5 years experience in healthcare industry project or program management with proven experience in medical affairs, research and development, or related experience in the pharmaceutical industry

  • Strong interpersonal and collaboration skills

  • Strong process management and problem-solving skills, ability to analyze and propose solutions

  • Strong communication skills and professional presence to effectively partner and influence with core medical teams and other key stakeholders to drive execution of medical strategy and tactics

  • Strong ability to communicate ideas and data (verbal and written) to inform others of progress of strategy, tactics, project, budgets, or contracts

  • Ability to work in an ambiguous environment, while maintaining a focus on operational excellence and detail orientation

  • Ability to identify and anticipate risks that impact timeline, budget, scope, or quality and propose potential solutions

  • Experience developing and monitoring budgets, including proactive communication of status and variances

Travel Requirements:

May travel 10% of time, primarily within US with occasional international travel

U.S. Base Salary Range:

$96,600.00 - $151,800.00

The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.

U.S. based employees may be eligible for short-term and/ or long-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
